How to create meeting types in CalendarHero

Accessing Meeting Types

  1. Log in to your CalendarHero account.

  2. Navigate to the Settings section.

  3. Click on Meeting Types in the sidebar.

2. Creating a New Meeting Type

  1. Click the + New Meeting Type button. Select Meeting.

  2. Choose a Meeting type name (no spaces, or numbers) - Ex. FullDaySession

  3. Choose Default Meeting Title. This is what the event will be titled on everyone's calendar.

3. Configuring Meeting Details

  1. Under Availability, set the Duration of the meeting.
  2. Availability Window: Define the days and times you’re available for this meeting type. CalendarHero will read these parameters and only offer available times within your preferences.

  3. Date Range: Choose how far out clients can see your availability

  4. Lead time: Choose how soon they are able to schedule.
  5. Meeting Limits: If there are multiple meeting timeslots in a day, you can limit how many are able to be booked. Once that number is hit, the day's remaining availability will close off.
  6. Buffer Times: Set a buffer before and after meetings to allow for breaks.
  7. Shared Availability: If you are scheduling on-behalf of yourself, select Off. If you are scheduling on behalf of another team member's calendar, select On-Behalf and type in that team member's name.
  8. Meeting Location: Choose from options like video conferencing (Zoom, Google Meet), phone call, or in-person.

4. Invitee Experience

  1. Meeting instructions will show on the scheduling page clients will see. Give detailed instructions on what the meeting is and how to follow the scheduling process.
  2. Pre-Meeting Questions: Add custom questions to gather information before the meeting. Warning: All invitees will see everyone's answers, so be careful about what information you ask to be shared.
